Custom Challenge Coin Quote Checklist: What to Send

A useful challenge coin quote starts with a clear brief. When artwork, dimensions, finish, and packaging are described consistently, you can compare options with fewer surprises. You do not need a finished production file to organize the information that matters.

Define The Purpose And Quantity

Explain who the coins are for and how they will be presented: a team milestone, recognition gift, event, or collection. State the total quantity and any separate design versions. If you want different finishes, list the quantity for each finish instead of giving only a combined total. Ask whether a change creates a separate setup or production requirement.

Show Both Sides

Attach references for the front and reverse. Mark exact spelling, dates, numbers, and any element that must not change. Include a high-resolution logo or vector file when available, and make sure you have permission to use the artwork. Tell the supplier whether a reference is a style example or artwork that must be reproduced faithfully. An image on a screen is not a production approval.

Specify The Physical Coin

For a round coin, give the diameter. For a custom shape, give both overall height and width. Use inches with millimeter equivalents when helpful. State the requested thickness and ask how it is measured. If relief is important, distinguish the base body from the maximum finished thickness. Mention any cutouts, moving parts, holes, or other construction features that need review.

Describe Finish, Color, And Edge

Identify the metal finish you want to compare, such as an antique or polished appearance, and explain whether different areas need different treatments. State which side has color and provide color references where color matching matters. Describe the edge treatment with a reference image if you are unsure of the term. Ask the supplier to confirm the process rather than relying on a name alone.

Include Numbering And Packaging

If serialization is required, specify the number range, location, format, and whether any numbers must be excluded. List the packaging for each coin, such as an individual bag, capsule, or presentation box. Confirm whether the quoted total includes packaging, setup, samples, shipping, and any other stated charges. Ask who is responsible for duties or taxes rather than assuming they are included.

Give The Destination And In-hand Date

Share the destination country and postal code, plus the date by which the coins need to arrive. Separate artwork approval, sample review, production, and delivery when discussing a schedule. A shipping estimate alone is not a complete project timeline. Ask what happens if the design changes after approval and whether the quoted delivery plan has conditions.

Compare Written Specifications

Keep a copy of the approved front and reverse proof and the final specification summary. Check quantities, dimensions, finish, spelling, packaging, destination, and all price inclusions before authorizing production. A website estimate is a planning reference; obtain a written, project-specific quote for the final scope.
